Seamless relocation of files

The transfer of filing used to be regarded as just another part of the move process. This is now changing as clients realise that moving files requires a very different skillset to moving furniture and IT.

Companies now realise that 'mistake free' file relocation is a specialist job requiring help from people who have an in depth knowledge of filing and storage. The transfer of files is now seen as an important part of an office move to the point that the Filing Relocation project manager is usually installed as an integral member of the move team at a very early stage. This simply underlines how seriously clients view this part of the operation.

Filing Relocation is continually resetting the bar when it comes to dealing with new relocation projects. Our philosophy is based on intensively archiving before the move in order to reduce the amount of filing that has to be rehoused. Doing all this work ourselves has allowed us to consistently meet filing volume reduction targets that many would feel unachievable.

File move checklist
  Survey to establish filing type, volume and ownership.
  Unclaimed cabinets opened and files displayed to find owner. Contents archived if they remain unclaimed.
  Net filing volume (after archiving) shows where new cabinets are needed and how many.
  Filing is then allocated to new storage units. Users shown allocation schedule for agreement & sign-off.
  From/to spreadsheets created charting the relocation of files from old to new location.
  Controlled packing and unpacking of files by filing team using detailed from/to crate labels.
  Crate labels (stuck on cabinets after unpacking) checked for any missing crates. File order also checked.
