The core to any good storage advice is the filing survey which establishes a snapshot of the filing volume presently held on-floor and flags any filing/storage issues that might arise in the new location.

This data can then be weighted with both a targeted file reduction figure and one for future expansion to give a net volume that would need to be housed. Drilling down to department/user group level will show how many storage cabinets would be needed in each area.

What a filing survey should cover

A proper filing survey does more than just record details of what documents are held where. Filing Relocation project managers look at the whole life cycle of the files and how it relates to those using them.
  Archiving potential?

The survey needs to be the first step in determining what really needs to be kept on-floor and what can go off-site. The user will always make the final decision but the survey helps identify documents that can be archived.
  Which departments need what?

The file audit breaks down the distribution of filing to department and user level. Unidentified cabinets are opened and contents are forensically examined to determine ownership.
  Cabinet fitments?

The filing survey will also show what storage fitments are needed for each new cabinet so that the correct cabinet will match the filing being sent to it. This is also an opportunity to review filing efficiency and determine whether or not the file type is fit for purpose.
